The Payroll Assistant is responsible for assisting the Payroll Specialists with tasks necessary to accomplish the organization’s weekly payroll processing. The role assists with payroll processing, maintains payroll records and helps ensure compliance with company policies and legal requirements.
Essential Functions
The Payroll Assistant is responsible for assisting in the processing and timely delivery of assigned payrolls. The Payroll Assistant uses an understanding of the company’s in-house payroll system (Paycom) to accurately pay employees in compliance with federal and state laws and regulations.
• Pick up mail, sort mail, & deliver mail to post office by deadlines
• Review and process both paper and electronic timesheets for field employees
• Review unapproved field employees time punches prior to payroll being processed
• Review and audit prevailing wage invoices against payroll records
• Assist Payroll Specialists with organization of daily timesheets.
• Ensures proper payment of wages and salaries by using the in-house payroll system (Paycom) to correctly process salaries and reported hours worked while meeting deadlines.
• Communicate with employees regarding missing timesheets
• Audit travel reimbursements and submit to payroll
• File both paper and electronic documents in an organized manner
• Other duties may be assigned
Qualifications
• Proficiency with MS office, Word and Excel required
• Strong attention to detail and accuracy
• Ability to handle confidential information with discretion
Knowledge
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
• Knowledge of payroll and accounting principles, payroll methods, Department of Labor regulations, and federal and state tax regulations is required.
Skills
• Experience with an electronic timekeeping system is preferred
• Strong organizational and time-management skills
• Ability to work under deadlines in a fast-paced environment
• Good communication and interpersonal skills
