Responsible for planning, scheduling and participating in SightLife’s numerous events and tradeshows throughout the year. Supervise the implementation and execution of corporate events (including internal company events), tradeshow booths, tradeshows and event materials, and work with the marketing staff on supporting the new business efforts required at these events. This position participates with staff within SightLife in the management of events that are directly associated with other departments such as advancing the SightLife mission or our international/global programs.

Essential Duties & Responsibilities:
  • Conception and completion of events including all associated corporate branded and co-branded materials at the following: exhibitions and trade shows, conferences, promotions and launches, fundraising and social events, hosted dinners and receptions, etc.
  • Responsible for securing venues for specific events and all venue requirements. Oversees the logistics and coordination of vendor contracts and agreements.
  • Acts as the project manager for all details of the events and tradeshows, directs the efforts of the event team during the event, and is the liaison between SightLife and the venue and vendors.
  • Work on communications company-wide to ensure materials are strategic and appropriate for event audiences.
  • Assist with monthly planning and execution of SightLife Connect; including scheduling, talking point consolidation, and logistical support.
  • Ensure articulation of SightLife’s brand via the event channels. Strive for consistent infusion of the brand during events, both internal and externally.
  • Work with marketing team on PR agency to create buzz around SightLife, making sure events are publicized and media opportunities generated.
  • Develop, coordinate and oversee a master vendor list in multiple states to ensure quality services and products for vendors nationally and provide vetting to other departments.
  • Create plans and budgets for the events calendar and associated materials needed. Produce detailed proposals for events as needed (e.g. timelines, venues, suppliers, legal obligations, staffing and budgets, etc.).
  • Coordinate staffing for events and any staff briefings needed for specific messaging to target audiences at events.
  • Develop, implement and iterate processes and procedures necessary to ensure the smooth functioning of both internal and external events.
  • Coordinate suppliers, handle questions and troubleshooting on the day of the event to ensure that all runs smoothly, oversee the dismantling and removal of the event and clearing the venue efficiently.
  • Work with Clinical Programs Manager to coordinate travel logistics for Clinical Programs Skills Transfer Courses.
  • Manages the relationships with external partners.
  • Perform other projects and duties as assigned.

Education and Experience:
  • Bachelor's degree in a related field (Hospitality, Communications, and Marketing) preferred.
  • 2+ years experience with event management or equivalent

  • Ability to coordinate projects, organize a variety of tasks, manage multiple and occasionally conflicting priorities simultaneously, meet deadlines and accurately attend to details.
