Description:
Perform all administrative functions as delegated by the Branch Manager.
Assist the Branch Manager with support staff and administrative functions that focus on management, supervision of support staff, administration and compliance related issues.
Responsibilities:
· Employment functions including interviewing, hiring, coaching, counseling, performance appraisals/disciplinary actions, terminations and salary reviews for support staff.
· Supervise and manage Human Resources/benefits issues/attendance/vacation.
· Manage administrative issues, including:
o Branch accounts payable processing
o Coordination of rent, facility, office maintenance, and cleaning/security issues
o Payroll and commission problems
o Processing all documentation for hiring branch employees
o Maintenance of all confidential files related to employees
o Maintain accurate files (Activity Logs, FA Correspondence, Compliance (if registered), etc.)
· Assist Branch Manager in the preparation and implementation of the business plan.
· Assist Branch Manager with the annual budget process.
· Assist Branch Manager with disseminating information at regular branch meetings.
· Review the monthly P&L to control costs, budget, and resolve discrepancies.
· Provide orientation to newly hired support staff.
· Participate in staff meetings with the Branch Manager and management team; regional meetings and conference calls with colleagues.
· Coordinate systems administration (systems telephone, SMDR).
· Perform all managerial duties delegated by the Branch Manager.
· Assist the Branch Manager with compliance related supervision, to include review of compliance and legal surveillance reports, as delegated by the Branch Manager.
· Coordinate compliance with the Human Resources element of the audit process.
· Manage registration matters.
Minimum Qualifications:
· Series 7, 8 or 9/10, and 63 preferred.
· 2 or more years of administrative experience.
· Extensive knowledge of branch procedures.
· Ability to communicate effectively with co-workers and clients.
· Strong communication, interpersonal, and writing skills.
· Supervisory experience preferred.
· Ability to perform under pressure and meet deadlines.
· High school diploma or equivalent; college degree preferred.
